The intelligent ordering system ensures the continuous availability of spare parts and items in your automotive business. Orders can be entered manually, directly during order creation, or generated at any time – fully automatically if desired – based on defined minimum and maximum stock levels. Naturally, CATAMA also notifies you when minimum and maximum stock levels are reached and automatically books orders into the goods receipt system to optimize warehouse utilization.

Orders are transmitted – upon request and/or after approval – semi-automatically, for example via email, or fully automatically through a direct connection to your supplier's API (e.g., Stahlgruber, TopMotive, etc.) with a single click. For better overview, CATAMA links your order to the corresponding project and allows you to easily track the current order status.

Even in order processing, the specific procedures that suit you and your company can be defined. For example, orders can be sent through an approval process, submitted to the boss for approval before shipping, or sent to the supplier as a price inquiry.

Include metadata in your orders, such as delivery dates, external order numbers, or order confirmations, and let the system notify you if an order does not arrive within the expected timeframe.

Goods receipt and inventory

CATAMA features a fully-fledged goods receipt and inventory management system. Record incoming deliveries and perform inventory postings with just a few clicks. You can either manually enter items and goods from external deliveries into the system or let CATAMA handle it. The system then automatically posts all items from your previously entered order. With just one click!

The necessary inventory entries are recorded chronologically in the item's history and also grouped by delivery note number. This allows you to precisely track at any time when, in what quantity, and under what conditions goods were purchased.

Delivery notes for deliveries or goods received from suppliers can be filed directly with the transaction upon request, allowing for efficient archiving. If you have purchased an item at special conditions, you can also record this directly and have the average purchase price displayed on the inventory lists – for example, at the end of the year.

You can record inventories in CATAMA in no time. CATAMA offers a dynamic quick entry mode for recording more extensive transactions. Once activated, you can make inventory adjustments with a single keystroke by entering the item number.

Optionally, you can also add a QR code to your items. In this case, inventory analysis and stocktaking are even more convenient, as you can do it during the counting process using your smartphone – directly at the shelf or next to the item. No external barcode or QR code scanner is required.

Document capture and archiving

You can archive invoices and credit notes for deliveries and goods receipts in CATAMA in just a few seconds. Select the document type and number, the amount, the due date, and the supplier, save, and you're done.

CATAMA can remind you of the timely payment of external invoices upon request and allows you to find any document at any time via an intelligent full-text search.

For each entry, you can optionally attach the original receipt as a PDF. Thanks to the convenient export options, including DATEV integration, you can export receipts for any period at any time and, for example, submit them to DATEV for invoicing.
