📋 Receipt template system

Create and reuse document templates
The new template system revolutionizes your daily document processing: You can now save quotes, orders, warranty orders, and internal documents as reusable templates. Create a perfect sample document once, including all line items, articles, work steps, text, discounts, and settings – and then reuse it as often as you like. The system is incredibly easy to use: In the document editor, you'll find a new "Save as Template" option. After saving, when creating new documents, simply click "Create from Template" and select one of your saved templates. CATAMA will then automatically populate all defined line items and settings. Typical applications include: summer and winter tire change packages with all standard work steps, 100,000 km inspections with a defined scope of work, standard oil change packages, recurring maintenance for fleet customers, or typical repair quotes for common defects. All you need to do afterward is enter customer-specific details such as name, vehicle, and any individual adjustments – the majority of the work is already done. The templates are permanently stored and can be edited, updated, or deleted at any time.

Intelligent numbering for templates
The automatic template numbering system is intelligent and flexible: Each template type (quote templates, order templates, warranty order templates, and internal document templates) has its own completely independent number range. In the system settings, you can individually configure how the numbering should work for each of these four types. The options are: daily reset (counter starts at 1 every day), monthly reset (counter restarts every month), or annual reset (default setting, counter resets at the turn of the year). You can also work without any reset, so the numbers increment continuously. The system stores a separate counter reading for each type, as well as the time of the last reset. For example, if you activated the annual reset on January 1st, all template numbers will automatically start again at 1. The template numbers are completely separate from your production document numbers, so confusion and conflicts are never possible. The template overview shows you all saved templates at a glance, along with their respective numbers, creation dates, and brief descriptions. This way, even with a large number of templates, you can immediately find the right one for your current needs.

🚗 Vehicle Owner History

Complete ownership documentation
CATAMA now automatically and seamlessly documents the complete ownership history of every vehicle in your system. As soon as you change the assigned customer in the vehicle master data, the system recognizes this as a change of ownership and automatically creates a new history entry. This entry includes: the previous owner, the new owner, the exact time of the change (date and time), the employee who made the change, and the status of the change. The previous owner's entry is completed with a "Ownership until" date, while the new owner's entry has a "Ownership from" date. You can view the complete history at any time in the vehicle master data via a new "Owner History" tab. There you will see a chronological list of all ownership changes: Who took over the vehicle from whom and when? This information is particularly valuable for used cars that have changed owners multiple times, leased vehicles with changing drivers, rental car fleets, or when a vehicle was initially used as a demonstrator and later sold. The history cannot be manipulated retroactively, thus providing legally compliant documentation. Even if a customer is deleted, the history is retained and displays the name at the time of ownership.

Quick access to current holder
In addition to the comprehensive ownership history, CATAMA implements a separate, high-performance field for the current vehicle owner. This field is automatically updated with every change of ownership and is immediately available in all relevant areas. In the vehicle overview, you can see the current owner's name directly in a dedicated "Current Owner" column – without having to open further details. In the vehicle search, you can specifically filter for all vehicles belonging to a particular owner. In the order system, when creating quotes or invoices, the current owner is prominently displayed, so you immediately know who you're dealing with. When scheduling appointments in the workshop calendar, the owner automatically appears in the vehicle details. This separate field ensures that this frequently needed information is available instantly, without the system having to search the entire history – a crucial performance advantage when dealing with large databases containing thousands of vehicles. Synchronization between the current owner and the history is fully automatic: you don't have to worry about a thing; the system keeps both areas consistently synchronized. So, if you just want to quickly find out "Who owns the vehicle now?", you'll find the answer immediately. Detailed historical information is available to answer the question "Who owned it previously?".

📬 Mail tracking

Postal delivery documentation for invoices
CATAMA now offers precise documentation for physical invoice delivery by mail – an important feature for legally compliant payment processing. In the invoice overview and invoice details, you'll find a new "Sent by Mail" button. If you've printed an invoice and sent it to the customer by post, simply click this button. The system will then automatically and immutably save the exact date and time (down to the second) in the invoice database. A clear icon or marker will appear in the invoice overview indicating "This invoice was sent by mail on DD.MM.YYYY at HH:MM." This information is always visible in both the list view and the invoice details. You can also specifically filter for invoices sent by mail. This feature is particularly valuable for businesses that use different delivery methods simultaneously: some customers receive invoices by email, others by post – CATAMA now accurately documents both methods. When creating dunning letters or payment reminders, the dispatch date is automatically taken into account and displayed. The system can optionally check whether an invoice has already been sent before sending a payment reminder (configurable). This function is solely for documentation purposes – it does not trigger any automated emails or other actions.
Your advantage: Legally sound documentation for debt collection and payment defaults! In case of disputes,
you can clearly prove when an invoice was sent. This is especially important for calculating
payment deadlines and in legal proceedings. Protect yourself against unfounded
objections such as "I never received the invoice" and document everything professionally. In a worst-case scenario, this is valuable evidence in court!
Print status for vehicle handover and collection protocols
Vehicle handover and collection protocols are essential documents in your workshop – they document the vehicle's condition upon receipt and handover and provide legal protection in the event of later complaints. CATAMA now automatically records every print job of these important protocols. When you click "Print Handover Protocol" or "Print Collection Protocol" in the order, the system automatically saves a precise timestamp in the background, including the date, time, and the employee who printed it. New status icons appear in the order overview: a green checkmark indicates "Handover protocol was printed on DD.MM.YYYY," and another for the collection protocol. Hovering your mouse over the icons displays the exact print time. In the order details view, you'll find a dedicated "Protocol Status" section with all the information: when was which document printed, and by whom? The system distinguishes between the first print job and subsequent print jobs – all times are recorded, but the first print job is highlighted. During shift changes or in teams with several employees, everyone can immediately see: "Has the handover protocol for the waiting customer already been printed, or do I still need to do that?" This eliminates duplication of effort, avoids embarrassing situations ("Where is the protocol?") and ensures smooth processes during vehicle handover.
