Frequently Asked Questions
Is a digital signature legally valid in Germany?▾
Yes. The DMS uses an SHA-256-linked audit chain (each step references the hash of the previous one), hash anchoring of the PDF before and after signing, and unique IP and user-agent logging. This fulfills the requirements of an advanced electronic signature (AES) according to eIDAS Article 26—suitable for contracts, maintenance agreements, data protection consents, and similar business documents. For qualified electronic signatures (QES, e.g., notarial deeds), we offer a D-Trust/Bundesdruckerei connection as an add-on upon request.
Where is the data stored?▾
By default, your CATAMA installation is hosted on the same server as your existing CATAMA installation—where all your customer data is already stored. Optionally, you can switch to S3-compatible storage (e.g., Wasabi DE) or a Hetzner Storage Box (WebDAV). No data is transferred to US providers .
Do we need new hardware?▾
No. The DMS runs on the existing CATAMA environment. We only recommend Tesseract (or a cloud fallback) for the OCR function, and optionally ClamAV for virus scanning. We install both as part of the onboarding process.
What happens to our data when we cancel our contract?▾
You can obtain a complete ZIP export archive of all original files at any time with the click of a button, including metadata as JSON and an audit chain as a signed CSV. No vendor lock-in.
Why shouldn't we use an external DMS?▾
External tools (DocuSign, DATEV DMS, M-Files, etc.) are excellent—but they don't 10–15 hours per month for a medium-sized business .
