Guide to Scrap Vehicle Tax in the Automotive Industry: Billing Correctly & Avoiding Mistakes

In the hectic day-to-day operations of a modern auto repair shop, processes must run smoothly. Between advising customers, diagnosing problems, and performing repairs, there is often little time left for administrative details. But when it comes to invoicing for replacement parts (used parts), there is a significant tax hurdle lurking: the used-parts tax.

Many repair shops are unsure about the exact regulations. However, incorrect billing can not only lead to disputes with customers but, in the worst case, result in costly additional tax assessments from the tax authorities following a tax audit.

In this comprehensive guide, we explain everything you need to know: exactly what the used parts tax is, why it exists, how it is calculated correctly, and how you can manage the entire process with the CATAMA workshop software .

What exactly is the used parts tax?

First things first: The “used-car tax” is not a separate tax, but rather a specific application of the Value-Added Tax Act (Section 10 UStG). It governs the taxation of so-called trade-in transactions involving a cash payment, which are commonplace in the automotive industry.

Specifically, this applies whenever a customer trades in a defective but reusable part (the old part) in exchange for a new or fully refurbished replacement part (the replacement part).

Typical examples of this include:

  • Alternators
  • Starter motor
  • Brake calipers
  • Transmissions and Clutches
  • Steering gear

The tax trick is that the value of the returned used part (often referred to as a trade-in ) is considered part of the payment for the new part. Sales tax must therefore be allocated to two separate tax bases, which must be clearly shown on the invoice.

Sample calculation: How the tax on old shares is calculated in practice

Manual calculations are where most mistakes occur. Let’s walk through this with a concrete example. A faulty alternator is being replaced.

  • Price of the new replacement alternator: €350.00 (excluding tax)
  • Refund (trade-in value) for the old alternator: €100.00 (net)

The correct calculation:

  1. Basis for calculating the repair cost (customer's copayment):

    • €350.00 (price of replacement part) – €100.00 (value of old part) = €250.00
    • Plus 19% VAT: €250.00 × 0.19 = €47.50
  2. Basis for calculating the trade-in (value of the old item):

    • Value of the old part = €100.00
    • Plus 19% VAT (the "used parts tax"): €100.00 × 0.19 = €19.00

Note: Common mistake— it is incorrect to simply subtract the deposit amount from the net price and tax only the remaining balance. Sales tax must be applied to the full value of the replacement part (€350), but it is simply split. In our example, the total sales tax amounts to €47.50 + €19.00 = €66.50, which corresponds exactly to 19% of €350.00.

Correct invoice formatting:

Position Quantity Single (net) Total (net)
Replacement alternator 1 350,00 € 350,00 €
Refund for the used part (deposit) 1 -100,00 € -100,00 €
Net total 250,00 €
plus 19% VAT 47,50 €
plus 19% sales tax on the value of the used part (€100.00) 19,00 €
Invoice amount (gross) 316,50 €

This manual process is not only cumbersome, but also an unnecessary source of errors in day-to-day operations.
